I detta examensarbete undersöks tre olika restauranger, inköpsprocessen kartläggs och ett förbättringsförslag för företagen presenteras. Syftet med arbetet är att få kunskap om inköp och inköpsprocessen för alkoholprodukter inom bar och nattklubbsbranschen. Forskningsfrågor som arbetet kommer att fokusera på är: Hur utförs inköpsprocessen i en nattklubb? Varifrån kommer produkterna? Hurdana datasystem används?
Arbetet är en kvalitativ undersökning och som forskningsmetod används semistrukturerade intervjuer. Informationen som samlas in anknyter till teoridelen i arbetet för att ge en djupare förståelse för inköpsprocessen.
Med inköp avses anskaffning av varor eller tjänster. Inom det logistiska flödet är inköpen den första processen i material och produktionsflödet. Huvudsyftet med inköpen är att upprätthålla kvaliteten och värdet av produkter, minimera kassaflödet och stärka verksamhetens konkurrenskraft. Inköparen har ett stort ekonomiskt ansvar för att inköpens andel är ca 40–60 %. Därför är det viktigt att inköparen har goda kunskaper om verksamheten. Med inköpsprocessen avses alla de aktiviteter som behövs för att skaffa produkter eller tjänster. Viktiga aspekter i en inköpsprocess är prognoser, beställningar, leveranskontroll, mottagning, lagring och betalning. Den nya alkohollagen trädde i kraft 1.3.2018 och vissa förändringar anknyter till nattklubbsbranschen.
Studien påvisar att den nya alkohollagen inte påverkar inköpen i företagen. Företagen använder sig av liknande leverantörer, en större och några mindre leverantörer. Företagen utför inköpen manuellt utan hjälpverktyg. De större leverantörerna har egna beställningssystem på sina hemsidor. De mindre leverantörernas beställningar sköts via e-post.Trots att alla använder samma datasystem har de svårt att hålla rapporterna i realtid. Detta leder till att inget av företagen använder datasystem som hjälpverktyg. Det nuvarande inköpssättet är tidskrävande och gammaldags. Datasystemet bör uppdateras med nya egenskaper. En av egenskaperna är ett alarmsystem som visar produkter med lågt lagersaldo eller som är slut i lagret. Om rapporterna är i realtid kunde företagen använda en rapport från datasystemet som visar produkter som behöver beställas. This thesis examines three different restaurants, their procurement process and an improvement proposal are presented for the companies. The purpose is to gain knowledge about the purchase and procurement process of alcohol products in the bar and nightclub industry. Research issues that the work will focus on are: How is the procurement process performed in a nightclub? Where do the products come from? What type of computer systems are used?
The empirical part of the study is a qualitative case study and semi-structured interviews are used as a research method. The information gathered relates to the theory part of the work to provide a deeper understanding of the purchasing process.
Purchasing refers to the getting of the goods or services. In the logistical flow, purchasing is the first process of the material and production flow. The main purpose of purchasing is to maintain the quality and value of products, minimize cash flow and strengthen the competitiveness of the business. The buyer has a major financial responsibility in the purchase because the purchase share is about 40–60 %. Therefore, it is important that the buyer has good knowledge of the business. The procurement process refers to all the activities needed to purchase the products or services. Key aspects of a procurement process are forecasting, orders, delivery control, receipt, storage and payment. The new Alcohol Act came into force 1.3.2018 and some of the changes are related to the nightclub industry.
The study shows that the new alcohol law does not affect purchases in these companies. The companies use similar suppliers, a larger and a few smaller suppliers. Companies perform purchases manually without auxiliary tools. The larger suppliers have their own ordering systems on their website. The smaller suppliers’ orders are e-mailed. Although everyone uses the same computer system, they have difficulty keeping reports in real time. As a result, none of the companies use computer systems as auxiliary tools. The current purchasing method is time-consuming and old-fashioned. The computer system should be updated with new features. One of the features is an alarm system that displays low-inventory products the in storage. If the reports are in real time, companies could use just one report from the computer system that shows products that need to be ordered.
