Helsinki International Horse Show (HIHS) is the biggest annually arranged indoor sports event in Finland. It is a five star horse riding competition that combines top sport and entertainment. Helsinki International Horse Show is organized by BCM Scanhorse Oy, a company that specializes in organizing equestrian events. Even thought BCM Scanhorse is not a large company it sets up massive organization of over 400 people to organize HIHS year.
The thesis follows the process of developing a guidebook for show coordinator’s job. The guidebook would become a part of new employee orientation material for BCM Scanhorse. The thesis introduces theoretical background about event management, new employee orientation, and experiences that have supported and brought reference for the guidebook. It also describes the process of creating the guidebook and discusses the reliability and practicality of the guidebook.
Creation of the guidebook was a development process that started in May 2011 and ended in April 2014. The content formation of the guidebook was based on the relevant literature and the author’s own work experience as a show coordinator of Helsinki International Horse Show in years 2011-2013. The first materials and structure drafts were made for HIHS 2011 and were then elaborated further and tested in Horse Shows 2012. The final testing took place in HIHS 2013.
The guidebook follows the basic structure of event organizing process including planning, execution, and post production. Examples have a big role in the guidebook. They clarify the instructions and support the text. The guidebook has nine attachments that together make a comprehensive starting kit for a new show coordinator.
The ready guidebook to show coordinator’s job at Helsinki International Horse Show is a tool that can be used by both new employees and more experienced show coordinators. It provides the first step towards comprehensive orientation process for the commissioning company BCM Scanhorse. Together the guidebook and the thesis give guidelines for creating good occupational training and new employee orientation.
