Tietojärjestelmän käyttöönottoprojekti

Abstract

Tämän opinnäytetyön tavoite on ollut tutkia tietojärjestelmän käyttöönottoprojektia, sen onnistumisen edellytyksiä sekä käyttöönoton onnistumista Indoor Group Oy:ssä. Työn teoriaosassa tarkastellaan projektinhallintaa, tietojärjestelmiä ja toiminnanohjausjärjestelmiä sekä tietojärjestelmän käyttöönottoa projektina. Tietojärjestelmän käyttöönoton toteuttaminen projektina on mielekäs ja usein ainoa käytännöllinen vaihtoehto hankkeiden organisoimiseksi ja läpiviemiseksi niiden määräaikaisen, ainutkertaisen, monimutkaisen sekä epävarman ja vaativan luonteen takia. Toiminnanohjausjärjestelmät (ERP, Enterprise Resource Planning) ovat tietojärjestelmiä, joiden tarkoitus on integroida yrityksen liiketoimintaprosessit tehokkaasti toimiviksi kokonaisuuksiksi sekä yrityksen sisäisessä toiminnassa että yritysten välillä. Projektinhallinta koostuu projektin johtamisesta, organisoinnista, vaiheistuksesta sekä riskienhallinnasta, joilla pyritään saavuttamaan projektin tavoitteet ja päämäärät. Opinnäytetyön empiirinen osuus koostuu Indoor Group Oy:lle tehdystä kvalitatii-visesta tutkimuksesta, jolla tutkitaan SAP R/3 taloushallinnon tietojärjestelmän käyttöönottoa. Tutkimuksella selvitetään, mitkä ovat käyttöönoton onnistumisen edellytykset loppukäyttäjän näkökulmasta. Lisäksi tutkitaan, mitkä riskit uhkaavat projektia ja arvioidaan käyttöönoton onnistumista. Tapaustutkimuksen perusteella voidaan todeta, että yrityksessä toteutettu tietojärjestelmäprojekti on kokonaisuutena onnistunut. Järjestelmä on hyvä teknisiltä ominaisuuksiltaan niiltä osin, kuin niitä osattiin arvioida tähän mennessä. Projektissa pysyttiin budjetissa ja aikataulussa, mutta tiukan aikataulun vuoksi projekti koettiin raskaaksi. Projektin testaukset ja tiedotus olivat projektin onnistumisen edellytyksiä, mutta eniten parannettavaa oli projektin varsinaisessa käyttöönottovaiheessa sekä käyttökoulutuksessa.

The aim of this thesis is to research the implementation project of a new ERP system, the requirements of the successful implementation and the success of the implementation in Indoor Group Ltd. The theoretical part examines project management, data systems and ERP systems and the implementation of a new ERP system as a project. The implementation of a new ERP system as a project is a sensible and often the only practical approach to implementation because of the temporary, unique, complex, uncertain and demanding nature of the implementation of a new data system.;The Enterprise Resource Planning (ERP) systems are data systems whose purpose is to integrate companies' business processes into an effectively functioning entity both in the company's internal processes and between companies. Project management comprises leading, organizing, and phasing the project as well as risk management, the purpose of which is to gain the project's objectives and aims. The empirical part consists of the qualitative research carried out for Indoor Group Ltd, concerning the new financial management ERP system SAP R/3. The purpose of the survey is to explore the prerequisites for a successful data system implementation from the end users point of view. In addition, the survey explores which risks threaten the project and how the implementation succeeded. Based on the case study, the implementation project in the company is successful as a whole. The data system has good technical qualities as far as they could be estimated at this point. The project kept its budget and schedule, but because of the strict schedule, the project was felt hard. The project's tests and information were the prerequisites for the success of the project. The actual implementation phase and the user training needed to improve the most.
