Festivaalin tuotantomanuaalin kehittäminen : Tapaus Superwood Festival

Abstract

Tämän opinnäytetyön tarkoituksena on selvittää, mitä asioita tulee mainita festivaalin tuotantomanuaalissa. Tässä opinnäytetyössä tuotantomanuaalilla tarkoitetaan palveluntuotannon toteutusvaiheen välinettä, joka kertoo sen järjestämiseen osallistuville henkilöille tarvittavaa ja hyödyllistä tietoa tapahtumaan liittyen.

Opinnäytetyön teoreettinen viitekehys perustuu tapahtuman tarkasteluun palveluliiketoimintaan, sekä yleisötapahtuman tarkasteluun projektina. Työ on toteutettu tapaustutkimuksena Ivana Helsingin Superwood Festival – tapahtumalle.

Tässä tapaustutkimuksessa käytetyt menetelmät koostuivat tapahtuman tuottajan haastattelusta, tapahtuman palveluprosessin blueprinting -mallinuksesta, sekä vuoden 2017 Superwood Festivalin jälkeen toteutetusta asiakaspalautekyselyn dokumenttianalyysistä. Menetelmien perusteella kartoitettiin tapahtuman kokonaisuuteen vaikuttavat asiat ja tekijät. Näiden avulla todennettiin tapahtuman tehtävät ja perusteltiin, mitä asioita tämän tapahtuman järjestämiseen osallistuvien henkilöiden tulee täten tietää.

Kartoituksen tuloksena selvisi tapahtuman palveluprosessin mahdollistavien toimien koskevan sisäisen prosessin tukitoimia. Sisäisen prosessin keskeisimpiä elementtejä olivat tapahtuman kokonaisuuteen perehdytys, tukitoimien kytkeytyminen tapahtumassa tarvittaviin fasiliteetteihin, sekä inhimillisiin tarpeisiin vastaaminen ja yhteistyön merkitys. Näistä asioista tiedon tarjoaminen ilmeni edellytyksenä tapahtumassa asiakkaan kannalta tärkeäksi koetun asioinnin sujuvuudelle. Näin myös itse tuotantomanuaalin tarve sisäisen prosessin perehdyttävänä tukitoimena konkretisoitui.

Tuloksien perusteella opinnäytetyössä on esitetty kehitysehdotuksena Superwood Festival –tapahtumaa koskevan tuotantomanuaalin sisällysluettelo pääpiirteineen. Tuotantomanuaalin käyttöönotto helpottaa tapahtumaan liittyvää tiedonkulkua, ja edesauttaa tapahtuman järjestämiseen osallistuvien henkilöiden toimimista. Tätä opinnäytetyötä koskevat menetelmät ja tulokset ovat myös sovellettavissa muille tapahtuma-alan samankaltaisille toimijoille.

This Bachelor’s thesis is a case research study for the development of a festival production manual for the Superwood Festival. The purpose of the festival production manual in this case was to provide necessary and useful information for the people who are working in the festival and participating to the production of it. The aim of this thesis was to examine what the production manual for the Superwood Festival should consist.

The theoretical framework of this study is based on considering festivals both as a service from a customer’s point of view and as a project from the perspective of the organizer. The methods conducted for this cause were an interview of the festival producer, constructing a festival service process blueprint and a documental analyse out of the previous Superwood Festival customer feedback survey. These methods were carried out in order to identify the factors behind the customers’ service process and to clarify the requirements of provided information.

The results of the used methods showed that the enabling factors of the festival service process were primarily based on to the internal supportive functions. The results showed the need for an overall induction of the festival, addressing the specific facilities required, response to basic human needs and the importance of the prevailing co-operational approach. Informing about these factors was shown to be premise to the important fluency for the customers’ service experience in the festival. As a conclusion the results addressed the substantial need of the production manual itself.

Based on the results, a proposal of the content of the production manual was suggested in the form of table of contents, with its main features. Once exploiting the production manual in action it will serve both the organiser, its participants and eventually its clients in the production of the service process. Furthermore, the methods used and the results of this case example, can be also applied into other similar cases.
