Projektisuunnitelma : Helsinki Coffee Festivalin tekninen tuotanto

Abstract

Tämän toiminnallisen opinnäytetyön tavoitteena oli laatia toimeksiantajalle, Helsinki Coffee Festivalille, projektisuunnitelma sen teknisen tuotannon osa-alueelle. Projektisuunnitelman oli tarkoitus toimia projektiorganisaation uuden jäsenen perehdyttämisen tukena ja samalla luoda pohja vuosittain käytettävälle suunnitelmalle.

Opinnäytetyö toteutettiin toiminnallisena työnä ja sen taustoittavassa osuudessa tarkasteltiin projektityötä, projektinhallinnan eri osa-alueiden kautta. Tämän työn tärkeimmät projektinhallinnan osat olivat projekti ja projektisuunnitelma sekä projektipäällikön roolit ja taidot. Opinnäytetyön teoriaa syvennettiin projektinhallintaa ja projektityötä käsittelevillä teoksilla sekä tapahtuma-alan kirjallisuudella.

Projektisuunnitelman laadintaa varten teetettiin suppea sähköpostikysely, jonka tavoitteena oli selvittää projektisuunnitelman tekoon ja käyttöön liittyviä haasteita. Vastaajiksi valikoitui projektien parissa vuosia työtä tehneitä ammattilaisia ja työn tilaajaorganisaation jäsenet. Kyselyyn vastanneiden mukaan haastavinta projektisuunnitelman laadinnassa oli aikatauluttaminen, budjetin laatiminen ja projektisuunnitelman selkeä muoto. Kyselystä selvisi myös, että muutokset tuovat haasteita projektien tekemiseen.

Työn teoriaosuudesta johdettiin projektisuunnitelma, jonka sisältö palveli hyvin tilaajaorganisaation tarpeita. Työn tuloksena laadittu projektisuunnitelma siirtyi valmistumisen jälkeen tilaajan käyttöön. Helsinki Coffee Festivalin teknisen tuotannon projektisuunnitelma sisälsi johdannon ja tärkeimmät tiedot tapahtumasta, organisaation työntekijöiden yhteystiedot ja työtehtävät, organisaation ohjaussuunnitelman, joka sisälsi kokoussuunnitelman sekä sisäisen viestinnän ohjeet. Projektisuunnitelman pelkästään teknistä tuotantoa koskevassa osuudessa oli toteutussuunnitelma, rakennus- ja purkuaikataulu sekä budjetin seurannan ohjeet. Valmis projektisuunnitelma tallennettiin pilvipalveluun.

Johtopäätöksissä todettiin, että projektisuunnitelma on erittäin tärkeä osa onnistunutta projektia ja sen laatimiseen tulisi käyttää tarpeeksi aikaa ja vaivaa. Hyvän projektisuunnitelman laatii ammattitaitoinen projektipäällikkö, jonka vastuulla on valvoa, että suunnitelma etenee, kuten sen pitäisi. Työn tuloksena syntyneestä suunnitelmasta oli hyötyä koko organisaatiolle.

The aim of this Bachelor´s thesis was to create a project plan for Helsinki Coffee Festival and its technical production. The object of the plan was to support the introduction of a new member of the project organisation and at the same time lay the foundation for the annual plan. The result of the work benefits the whole organisation. For the functional part of this thesis, parts of different project plans were selected that were best suited for an event like Helsinki Coffee Festival.

The thesis was carried out as a functional study and its background information was examined through project work and various sub-regions of project management. The main project management parts of this study were the project and the project plan as well as the roles and skills of the project manager. The theory of the thesis was deepened by research of project management and project work as well as literature of the event production.

An e-mail inquiry was conducted to prepare the project plan with the aim of clarifying the challenges of creating and using a project plan. The respondents were professionals who have been working in projects for several years and the client organisation for this thesis. According to the respondents, the most challenging factors were scheduling, budgeting and a clear format for the project plan. The survey also found that the changes bring challenges to making projects.

The project plan was conducted from the theoretical part of the study and it was discovered that he content served well the needs of the client organisation. The created project plan was transferred to the client after the completion. The project plan for the technical production of Helsinki Coffee Festival included the introduction and the most important information about the event, the contact details of the organisation's employees and tasks, the organisation's management plan containing the meeting plan, and internal communication guidelines. The technical part of the project plan contained the implementation plan, the construction and discharge schedule, and the budget follow-up guidelines. The completed project plan was saved in the cloud service.

In conclusion, it was found out that a project plan is a very important part of a successful project and for its drafting enough time and effort should be used, A good project plan is drawn up by a skilled project manager whose responsibility is to ensure that the project is progressing according to the plan.
