Tiivistelmä
Opinnäytetyön aiheena on taloushallinnon, pääasiassa ostolaskuprosessin, automatisointi ja siihen soveltuvat työkalut. Toimeksiantajana toimi Tilitoimisto X. Opinnäytetyön tavoitteena oli syventää ymmärrystäni taloushallinnon automatisaation työkaluista ja tehdä laadullinen tutkimus tekoälyn hyödyntämisestä Tilitoimisto X:n ostolaskuprosessissa. Opinnäytetyön tarkoituksena on myös toimia tietopakettina taloushallinnon automatisoinnista kiinnostuneelle.
Teoriaosuudessa käydään läpi aluksi taloushallinnon kehityssuuntaa ja digitaalisen taloushallinnon toimintaa. Tekoälyn toimintaperiaatteita ja opetusmenetelmiä käsitellään omassa luvussaan. Teoriaosuudessa käsitellään myös muita automaatiotyökaluja, kuten ohjelmistorobotiikkaa. Ostolaskuprosessista kertovassa luvussa kerrotaan perinteisen ja automatisoidun ostolaskuprosessin toiminnasta ja työkaluista prosessin automatisointiin. Empiirisessä osuudessa käsitellään tilitoimisto X:n ostolaskuprosessia alkuvaiheessa ja tekoälyn käyttöönoton jälkeen ja käydään läpi, miten tekoälyn hyödyntämisessä edettiin.
Tutkimusaineisto hankittiin teemahaastatteluiden avulla alkuvaiheessa ja prosessin edetessä. Sisältöä empiiriseen osuuteen hankittiin myös tarkastelemalla tilitoimisto X:n tekoälyportaalin toimintaa. Tutkimuksessa hyödynnettiin lisäksi FabricAI-tekoälyportaalin demoversiota, jossa käyttäjä pääsee kokeilemaan portaalin toimintoja. Tutkimuksessa pohdittiin myös menetelmiä, joilla tekoälystä saataisiin mahdollisimman tehokas työkalu tilitoimistolle.
Lopputuloksissa ilmeni useita positiivisia asioita tekoälyn käytöstä, mutta tekoälyn käytössä ollaan tilitoimisto X:n tapauksessa vielä alkuvaiheessa, joten tuloksia ei voitu vielä arvioida kokonaisvaltaisesti. Tilitoimiston FabricAI -tekoälyn koekäytössä havaittiin useita hyviä tarkkuuksia tiliöintiennusteissa jo alkuvaiheessa, mutta tekoäly kaipaa enemmän koulutusta, jotta voidaan arvioida, mitkä ovat sen tuomat hyödyt kustannuksiin suhteutettuna. Markkinoilla on erilaisia ratkaisuja ostolaskuprosessin automatisointiin, mutta mikään niistä ei toimi täysin samalla tavalla. Tilitoimisto X jatkaa FabricAI-tekoälyn kokeilua ja tutkii tulevaisuudessa myös muita vaihtoehtoja, joita opinnäytetyössä käytiin läpi tehdäkseen päätöksen, mikä automaatioratkaisu sopii parhaiten tilitoimiston ja asiakasyritysten tarpeisiin. The subject of this thesis is the automation of financial management, focusing on the purchase invoice process and the tools suitable for it. The commissioner of this thesis was accounting company X. The aim of this thesis was to deepen the writer’s understanding of automation tools in financial management and to do a qualitative study on the utilization of artificial intelligence in the accounting firm X’s purchase invoice process. The purpose of this thesis was also to serve as a package of information for those interested in the automation of financial management.
The theoretical part first reviews the future direction of financial management and the operation of digital financial management. The operating principles and teaching methods of artificial intelligence are discussed in their own chapter. The theory part also discusses other automation tools, such as robotic process automation. The chapter on the purchase invoice process describes the operation of the traditional and automated purchase invoice process and reviews the tools for the automation of the process. The empirical part of the thesis goes through the purchase invoice process of accounting company X in the initial stage and after the introduction of artificial intelligence and explains how the company proceeded in the utilization of artificial intelligence.
The research material was acquired through theme interviews in the beginning and as the process progressed. The content for the empirical part was also obtained by looking at the operation of the accounting firm X's FabricAI portal. The research also utilized the demo version of the FabricAI portal, where the user can try out the functions of the portal. The study also speculated the methods to make the artificial intelligence the most effective tool for the accounting firm.
The end results showed several positive matters in utilizing AI, but the use of artificial intelligence is still at an early stage for accounting firm X, so the end results could not yet be assessed comprehensively. During the accounting firm X’s trial period of the FabricAI portal, it had several cases of good accuracy in its predictions. However, the AI needs more training before the company can assess its benefits in relation to costs. There are different solutions on the market for automating the purchase invoice process but none of them work exactly the same way. The accounting company X will continue trying out FabricAI and will also explore different options that were discussed in the thesis in the future to make a decision on which automation solution best suits the needs of the accounting firm and their client companies.
