Reportronic-projektinhallintajärjestelmän hyödyntäminen Lapin korkeakoulukonsernin hankehallinnossa

Abstract

Työn tavoitteena oli selvittää, miten Lapin korkeakoulukonserniin kuuluvat Lapin yliopisto, Rovaniemen ammattikorkeakoulu ja Kemi-Tornion ammatti-korkeakoulu hyödyntävät Reportronic-projektinhallintaohjelmaa hankehallinnoinnissa. Työssä selvitettiin tutkimus- ja kehityshankkeissa työskentelevien henkilöiden näkemyksiä järjestelmän käytöstä. Tutkimuksen keinoin pyrittiin löytämään kehittämis-/parannuskohteita Reportronicin entistä tehokkaammalle käytölle korkeakoulukonsernissa.

Työn teoria koostuu lähinnä projekteja ja projektinhallintaa käsittelevästä kirjallisuudesta. Lisäksi hyödynsin työssä verkko- ja lehtiartikkeleita, Reportronic-järjestelmäopasta sekä tutkimusmenetelmäkirjallisuutta. Tutkimusmenetelmä oli laadullinen tapaustutkimus. Työn empiirisessä osiossa käytin tiedon keräämiseksi kyselyä, jota pidetään pääsääntöisesti määrälliseen tutkimukseen kuuluvana menetelmänä.

Tutkimuksessa saatiin selville, että Reportronicia hyödynnettiin hankehallinnoinnissa monipuolisimmin RAMK:ssa. Siellä järjestelmän käyttöön suhtauduttiin myös myönteisimmin. KTamk:ssa järjestelmää hyödynnettiin keskinkertaisesti. Suurimmat erot liittyivät Lapin yliopiston vastaajien Reportronicin käyttöön. Erityisesti dokumenttien sekä kustannus- ja toteumatietojen hyödyntäminen olivat yliopistolla alkutekijöissään. Myös työajan kirjaamista pidettiin tällä hetkellä monimutkaisena.

Kehittämiskohteita löytyi useita. Organisaatioissa voitaisiin parantaa tiedon käytettävyyttä projektitiedonhallintaa tehostamalla. Myös yhteisten dokumenttien hallintaan tarvittaisiin selkeyttä. Jokaisessa organisaatiossa nähtiin myös tarve koulutuksen ja ohjeistuksen lisäämiselle järjestelmän käytöstä.

The aim of this thesis was to find out how the members of the Lapland University Consortium which includes the University of Lapland, Rovaniemi University of Applied Sciences and Kemi-Tornio University of Applied Sciences, use the Reportronic-project management system in their project administration. In this thesis the opinions and views of the users of the system who work in the field of research and development were examined.

The theoretical part is mostly based on literature on projects and project management. In addition, as background information I used electronic sources as well as articles. Also I used the following: the guide on the Reportronic-project management system and literature on research methods. The research method was a qualitative case study. In the empirical part of this research I used a survey to collect the information.

The results showed that the Reportronic-project management system was used in the most diverse ways by the project administration at Rovaniemi University of Applied Sciences. Also, Rovaniemi University of Applied Sciences had the most positive attitude among users of the system. The system was moderately used at Kemi-Tornio University of Applied Sciences. The most differences were related to how Reportronic was used at the University of Lapland where particularly documents as well as cost and actualised information about costs were not utilized as effectively as possible. In addition documentation on working hours was considered to be too complicated.

The survey results showed that there were many developing fields. In the future, by enhancing project information management within the Lapland University Consortium then this could help to make better use of information in the three organisations. In addition, there seemed to be a need to clarify the use of common documents. Also, increasing training and the use of system instructions were needed in every organisation.
