Kesätyöntekijöiden perehdyttäminen Hotellinx-varausjärjestelmään : Case: Hostel Domus Academica

Abstract

Hostel Domus Academica on Helsingin Kampissa sijaitseva kesähostelli, joka on auki 1.6–1.9. Hostelli kuuluu Helsingin Yliopiston Ylioppilaskunnalle, eli HYY yhtymälle.

Opinnäytetyön ensimmäisenä tavoitteena on suunnitella ja toteuttaa vastaanottovirkailijoiden perehdytys Hotellinx-varausjärjestelmään. Toisena tavoitteena on tehdä varausjärjestelmään perehdytysmateriaali tuleville perehdyttäjille.

Produkti toteutettiin aloittamalla perehdytyksen suunnittelu maaliskuussa 2013. Suunnittelun pohjalla käytettiin opinnäytetyön tietoperustan tietoja. Itse varausjärjestelmään perehdyttäminen toteutettiin toukokuun aikana. Perehdytetyille jaettiin kysely perehdytyksen toteutuksesta heinäkuun alussa. Kyselyssä oli 13 monivalintakysymystä ja yksi avoin kysymys.

Vastausprosentti kyselyyn oli 100 %. Suurin osa arvioi taitonsa huonoiksi ennen perehdytystä, mutta perehdytyksen jälkeen he arvioivat taitonsa hyviksi tai erinomaisiksi. Kuitenkin yksi arvioi taitonsa vielä huonoiksi perehdytyksen jälkeen ja kolme ei huonoiksi eikä hyviksi. Avoimessa kysymyksessä pyydettiin kehitysehdotuksia varausjärjestelmään perehdyttämiseen. Kehitysehdotuksina mainittiin mm. enemmän aikaa harjoitteluun ja perusteellisemmat harjoitukset.

Varausjärjestelmään perehdyttäminen onnistui tavoitteidensa puolesta. Tulevaisuudessa perehdytykseen olisi hyvä varata enemmän aikaa ja perehdyttäjän pitäisi keskittyä ensimmäisten aukiolopäivien aikana vain vastaanottovirkailijoiden tukemiseen. Perehdytysmateriaali on päivitetty palautteen pohjalta toimivammaksi ja tehokkaammaksi tulevia perehdyttäjiä ja perehdytettäviä varten.

Hostel Domus Academica is a summer hostel located in Kamppi in Helsinki. It is open during the summer months from 1st June till 1st September.

This Bachelor’s thesis has two aims. The first one is to plan and carry out reservation system orientation to the new employees. The second aim is to produce reservation system orientation material to the future mentors.

The planning of the orientation started in March 2013 and it was based on the theory section of this Bachelor’s thesis. The reservation system orientation was conducted in May. In the beginning of July the employees were handed out questionnaires regarding the reservation system orientation. The questionnaire included 13 multiple choice questions and one open question.

All the questionnaires were returned, which resulted in a response rate of 100 %. The majority of the respondents assessed their knowledge of Hotellinx as poor before the orientation. After the orientation many assessed their knowledge as good or excellent. Nevertheless one respondent estimated their knowledge as quite poor and three answered neither good nor poor. The open question asked for suggestions for how to improve the reservation system orientation. The topics that were mentioned more than once were more time for practicing and more thorough exercises.

The reservation system orientation did meet its aims, so it was successful. In the future more time should be set aside for practicing with the program. The role of the mentor should be re-considered during the first days when the hostel is open. The mentor should be mainly supporting and helping the receptionist during their first shifts, especially if everybody is new. The orientation material was updated to be more practical and efficient on the basis of feedback and experiences.
