Matkalaskujärjestelmävaihdos : Nordic Morning Oyj

Abstract

Tämän opinnäytetyön aiheena oli selvittää pohjoismaisen viestintäalan konsernin Nordic Morning Oyj:n nykytilanne ja lähtökohta alkuperäisen matkalaskujärjestelmän kanssa. Työn tarkoitus oli selvittää, saadaanko alkuperäisestä matkalaskujärjestelmästä muokkaamalla tai päivittämällä paremmin tarpeita vastaava järjestelmä konsernin yrityksille Suomeen ja Ruotsiin. Sen varalta, ettei alkuperäinen matkalaskujärjestelmä tulisi sopimaan myös Ruotsin yritysten käyttöön, selvitettiin muiden matkalaskujärjestelmien ominaisuuksia. Pääasiassa matkalaskuja tuotetaan Nordic Morning Oyj:n Suomen ja Ruotsin yhtiöissä, joten työn tavoitteena oli selvittää tehokkain ratkaisu matkalaskujen tuottamiseen ja käsittelemiseen näissä maissa.

Opinnäytetyö käsittelee matkalaskun ja sähköisen matkalaskun perusteita sekä esittelee matkalaskuprosessin kulun Nordic Morning Oyj:ssä. Samalla kuvataan kohdeyrityksen tarvitsemat liittymät matkalaskujärjestelmään.

Tutkimusmenetelminä käytettiin kyselyä, avointa haastattelua sekä havainnointia. Kyselyllä kartoitettiin nykytilannetta matkalaskujärjestelmän käyttäjien näkökulmasta. Lähtötilanteen selvittyä kartoitettiin konsernin kriteerit matkalaskujärjestelmälle Suomen ja Ruotsin yhtiöiden näkökulmasta. Avoimilla haastatteluilla kerättiin tietoa ja kokemuksia nykyisen järjestelmän pääkäyttäjiltä sekä käytiin läpi järjestelmävaatimuksia Suomen ja Ruotsin yhtiöiden kannalta. Haastatteluilla kartoitettiin myös työn tavoitteita sekä kerättiin lisätietoja matkalaskujärjestelmien palveluntarjoajilta. Havainnointia hyödynnettiin jatkuvasti läpi projektin.

Työn lopputuloksena oli esittää ehdotus parhaimmasta mahdollisesta matkalaskujärjestelmästä Nordic Morning Oyj:n käyttöön niin Suomessa kuin Ruotsissakin. Järjestelmän tuli kattaa mahdollisimman hyvin työssä selvitetyt kriteerit. Palveluntarjoajien hinnoittelutavat on rajattu tämän opinnäytetyön ulkopuolelle. Työ keskittyy neljään matkalaskujärjestelmään ominaisuuksineen sekä konsernin omiin matkalaskujärjestelmäkriteereihin. Johtopäätöksenä esitellään matkalaskujärjestelmän vaihtamista toiseen, tarpeita ja kriteereitä vastaavaan ohjelmaan, joka toimii niin Suomessa kuin Ruotsissakin.

The objective of the present thesis was to identify the starting point and understand the present situation with the current travel expense system at Nordic Morning Plc, an international group providing communications services. The purpose of the thesis was to find out if the original travel expense system could be adapted or updated to be more suitable for the target company’s needs in Finland and in Sweden. In case the current system would not be useable also in Sweden, the possibility to use other travel expense system service providers was examined too. The travel expenses at Nordic Morning Plc are mainly produced in the Finnish and Swedish companies; hence, the object of the thesis was to find out the most efficient solution for producing and handling the travel invoices in these two countries.

The thesis introduces the basics of travel invoicing and electric travel invoicing. The travel invoicing process of Nordic Morning Plc is also described as well as all the needed integrations for the travel expense system at the target company.

The research methods applied in this thesis were a survey, unstructured interviews and observation. The survey mapped out the current situation and the starting point from the system users’ point of view. In addition, the target company’s requirements and criteria for the travel expense system were identified, from both the Finnish and the Swedish companies’ point of view. With the unstructured and open interviews, the system administrator’s information and experiences in using the current travel expense system were gathered. The interviews were also used to identify the objects for the thesis and to collect further details from the service providers. Observation was exploited throughout the project.

The result of this thesis was a proposal for the best possible travel expense system to be used in Nordic Morning Plc’s companies in Finland and Sweden. The system should en-compass the given criteria as well as possible and be competitive in pricing. The service providers’ pricing methods are excluded from this thesis but it has been restricted to four travel expense systems and their features and the group’s own criteria alike. As a conclusion the thesis suggests that the target company change the original system to another one which matches with the criteria and needs and also serves both in Finland and Sweden.
