Tapahtuman järjestäminen : case: Keski-Pohjanmaan Maanpuolustusnaiset ry:n 5-vuotisjuhlan suunnittelu ja toteutus

Abstract

Tämän toiminnallisen opinnäytetyön aiheena on tapahtuman järjestäminen. Tässä työssä toimeksiantajana toimii Keski-Pohjanmaan Maanpuolustusnaiset ry. Työn aiheena on Keski-Pohjanmaan Maanpuolustusnaiset ry:n 5-vuotisjuhlan suunnittelu ja toteutus. Opinnäytetyön tavoitteena oli järjestää onnistunut tapahtuma yhteistyössä yhdistyksen hallituksen jäsenten kanssa.

Lähdemateriaalina oli pääosin tapahtumajärjestämiseen liittyvää kirjallisuutta. Ohjelman sisältöön liittyvissä asioissa tietoperustana hyödynnettiin vapaaehtoisen maanpuolustuksen protokollaopasta. Työn menetelminä käytettiin projektiryhmän suunnittelukokouksia sekä vuorovaikutusta eri viestintäkanavissa. Työvälineinä suunnitteluprosessissa sovellettiin Microsoft Exceliä, Microsoft Wordia sekä Canva-suunnitteluohjelmaa.

Vuosijuhlan suunnittelut aloitettiin useita kuukausia ennen varsinaista tapahtuma-ajankohtaa. Tapahtuma toteutui huhtikuun alussa 2024. Juhlapäivä alkoi keskipäivällä ja päättyi alkuillasta. Jälkivaihe alkoi välittömästi juhlan jälkeen ja päättyen kuluraporttien laatimiseen ja palautteiden läpikäymiseen.

Johtopäätöksenä voidaan todeta tapahtuman onnistuneen hyvin. Osallistujat antoivat hyvää ja rakentavaa palautetta. Opin yhdessä projektiryhmän kanssa tapahtuman järjestämisestä.

The topic of this functional thesis is organizing an event. In this work, the principal is the Central Ostrobothnian National Defence Women's Association. The theme of the work is the planning and implementation of the 5th anniversary of the Central Ostrobothnian National Defence Women's Association. The aim of the thesis was to organize a successful event in cooperation with the members of the board of the association.

The source material was mainly literature related to event organizing. In matters related to the content of the programme, the voluntary national defence protocol guide was used as the knowledge base. The methods of the work were project team planning meetings and interaction in different communication channels. As tools, Microsoft Excel, Microsoft Word, and the Canva design program were applied in the design process.

Planning for the anniversary began several months before the actual date of the event. The event took place in early April 2024. The holiday started at noon and ended in the early evening. The second phase began immediately after the celebration and ended with the preparation of expense reports and feedback.

In conclusion, the event was a success. The participants of the event gave good and constructive feedback. Together with the project team, I learned about event organizing.
