Office 365 ja Office 2013 -käyttöönotto opiskelijan näkökulmasta

Abstract

Lapin AMK:n Microsoftin kanssa tehdyn sopimuksen perusteella sekä opiskelijoille että henkilökunnalle on lokakuusta 2014 lähtien tarjottu mahdollisuus ottaa käyttöönsä Microsoftin tuoreimpien työvälineiden versiot. Opiskelijoilla oli mahdollisuus saada käyttöönottoperehdytystä kahdelta Lapin AMK:n opiskelijalta, jotka suorittivat opiskeluun kuuluvan työharjoittelunsa Office 365 ja Office 2013 -käyttöönottoprojektissa opiskelijoiden tukihenkilöinä.

Tämän opinnäytetyön tavoitteena oli tutkia, miten Office 365:n ja Office 2013:n -käyttöönotto sujui opiskelijoiden näkökulmasta. Toinen tavoite oli selvittää, miten tiedottaminen sujuu Lapin AMK:ssa sekä pohtia sitä, mitä toimenpiteitä tulisi tehdä tiedottamisen parantamiseksi.

Lähteenä käytettiin opinnäytetyön aiheeseen sekä tutkimuksen tekemiseen liittyvää kirjallisuutta. Opinnäytetyössä tarvittavat empiiriset tiedot kerättiin opiskelijoille suunnatulla kyselyllä, tukisähköpostiin tulleista tukipyynnöistä, sekä työharjoittelussa tekemistäni havainnoista.

Tutkimuksen tuloksena oli, että tietojärjestelmän käyttöönotto ei sujunut ongelmitta osalla Lapin AMK:n opiskelijoista. Tiedotteista sekä tarjotusta tuesta huolimatta, kaikki opiskelijat eivät hyödyntäneet heille tarjottuja työkaluja. Ongelmia ilmeni muun muassa kirjautumisessa, käyttöönotossa sekä Office 2013 asentamisessa. Osalla opiskelijoista oli vaikeuksia hahmottaa Office 365:n ja Office 2013 välinen ero, joka osaltaan hankaloitti käyttöönottoa.

Tutkimuksessa kävi myös ilmi, että tiedottaminen opiskelijoille Lapin AMK:ssa ei tällaisenaan toimi. Tästä syystä tiedottamistapoja opiskelijoille tulisi harkita uudelleen, jotta tärkeät opiskeluun liittyvät tiedotteet saavuttaisivat mahdollisimman monta opiskelijaa. Kyselystä saatujen vastausten perusteella ainoastaan kolmasosa kyselyyn vastanneista opiskelijoista seuraa Lapin AMK:n Oppilaitos tiedottaa -palstaa ja myös sähköpostiin tulleita viestejä luetaan valikoiden. Opiskelijat saavat sähköpostiinsa paljon opiskeluun kuulumattomia viestejä, jolloin on mahdollista, että tärkeät viestit jäävät huomaamatta.

Lapland University of Applied Sciences made an agreement with Microsoft, which offered a possibility for students and staff to start using the latest versions of Microsoft’s tools. Students were offered an opportunity to get guidance from two students studying at Lapland University of Applied Sciences who conducted their practical training as support persons in this project. The objective of this thesis was to find out how students of Lapland University of Applied Sciences experienced the implementation of Office 365 and Office 2013. The second objective was to research how the function of informing students is experienced among students of Lapland University of Applied Sciences. Literature on the topic of this thesis in addition to literature on conducting research were used for this research. Additionally, data was collected by conducting a questionnaire survey among all students of Lapland University of Applied Sciences. Additionally, data was collected from the requests received via ICT support’s e-mail. I also used my own observations during my practical training. The result of this research was that the implementation of the information system did not take place without problems among the students of Lapland University of Applied Sciences. Despite the information and the guidance offered, all students did not take the opportunity of using these new tools. Students had problems with installing the Office 2013. They also had some difficulties in logging in and implementation of Office 365 and Office 2013. Moreover, some students had difficulties in understanding the difference between Office 365 and Office 2013. The research also found out that the channels use to inform students do not have the expected effects. Therefore, this issue could be reconsidered to ensure that the information sent to students reaches them. The questionnaire survey revealed that only about one third of students actively reads the University’s official information forum. Further, the university email system is not used by all students. The students experience that they receive irrelevant messages and, thereby, they overlook important messages.
