Tietojärjestelmät taloushallinnon prosesseissa

Abstract

Opinnäytetyöni toimeksiantaja oli LänsiAuto–konserni. LänsiAuto–konsernin muodostaa emoyhtiö LänsiAuto Oy sekä tytäryhtiöt Auto-Jalonen Oy, Suomen Euroauto Oy ja Kiinteistö Oy Ansiokatu 1. LänsiAuto–konserni on viidellä eri paikkakunnalla toimiva moottoriajoneuvojen vähittäiskauppaa ja korjaamotoimintaa harjoittava yritys. Opinnäytetyöni tarkoituksena oli kuvata kuinka liiketoiminnan prosesseista syntyvä numeerinen tieto siirtyy tuloslaskelmaan ja taseeseen. Opinnäytetyön tavoitteena oli kehittää LänsiAuto-konsernin taloushallinnon prosesseja sekä tietojärjestelmiä taloushallinnon näkökulmasta.

Opinnäytetyö on rajattu koskemaan taloushallinnon prosesseja ja tietojärjestelmiä taloushallinnon näkökulmasta. Opinnäytetyön teoreettisessa viitekehyksessä käsiteltiin yleisimpiä taloushallinnon prosesseja ja taloushallinnon tietojärjestelmiä sekä niihin liittyvää ajankohtaista kirjallisuutta. Teoreettisessa viitekehyksessä on käsitelty taloushallinnon prosesseja etenkin sähköisen taloushallinnon kannalta. Case-osiossa kuvataan LänsiAuto–konsernin taloushallinnon prosessit, käytössä olevat tietojärjestelmät sekä esitetään kehitysehdotuksia taloushallinnon prosessien ja tietojärjestelmien kehittämiseksi.

Opinnäytetyötä varten tehtiin kvalitatiivinen tutkimus syksyn 2010 aikana. Kvalitatiivinen tutkimus toteutettiin henkilöhaastatteluina, joissa haastateltavia haastateltiin sekä ryhmähaastatteluissa että yksilöhaastatteluissa. Haastatteluiden avulla kartoitettiin LänsiAuto–konsernin taloushallinnon prosesseja ja käytössä olevia tietojärjestelmiä. Tutkimuksen perusteella tehtiin kuvaus LänsiAuto-konsernin tietojärjestelmistä ja taloushallinnon prosesseista.

Tutkimuksen avulla saatiin selkeä kuvaus LänsiAuto–konsernin taloushallinnon prosesseista sekä tietojärjestelmistä ja niiden integroinnin toteutumisesta. Tutkimuksen tuloksista saatiin selville taloushallinnon prosessien ja järjestelmien ongelmakohtia. Ongelmakohtiin tehtiin konkreettisia kehitysehdotuksia. Kehitysehdotukset tehtiin sähköistyvän taloushallinnon näkökulmasta. Kehitysehdotukset olivat hyödyllisiä LänsiAuto–konsernille, koska niiden avulla yritys havaitsi taloushallinnon prosessien heikkouksia. Näitä heikkouksia parantamalla yritys voi saada aikaan esimerkiksi kustannussäästöjä. Kehitysehdotuksien myötä tuli keskustelua muun muassa myyntilaskujen lähettämisestä sähköisesti asiakkaille. Vaikka taloushallinto kehittyy koko ajan sähköisemmäksi, paperilaskut tulevat kuitenkin olemaan vielä verkkolaskujen rinnalla pitkän aikaa.

The subject of this Bachelor’s thesis was the LänsiAuto concern, which is a car dealership established by its parent company, LänsiAuto Oy, and subsidiary companies Auto-Jalonen Oy, Suomen Euroauto Oy, and Kiinteistö Oy Ansiokatu 1. The LänsiAuto concern operates in five different localities, and sells cars and other motor vehicles and runs a car service. The purpose of this Bachelor’s thesis was to describe and to develop the information systems of the LänsiAuto concern from the perspective of financial management and describe how numerical information is transferred in the profit and loss account and in the balance sheet.

This Bachelor’s thesis focuses on financial management processes and information systems from the financial management’s point of view. The most common processes of the financial management and information systems and the current literature which is related to them are presented in the theoretical section of this Bachelor’s thesis. The processes of the financial management have been presented especially from the perspective of electronic financial management. The processes of the financial management of the LänsiAuto concern the information systems in use are described in the case section of the text. Development proposals for the information systems and financial management are also described in the case section of the text.

For this Bachelor’s thesis a qualitative study was conducted in the autumn of 2010. The qualitative study was carried out through group interviews and individual interviews. With the help of the interviews the processes of the financial management of the LänsiAuto concern and the information processing systems in use were surveyed. On the basis of this study a description of the information processing systems of the LänsiAuto concern and the financial management processes was made.

With the help of the study a clear description of the processes and information processing systems of the financial management of the LänsiAuto concern and the realization of their integration was obtained. The problematic areas of the processes and systems of financial management were found out from the results of the study. Concrete development proposals were made for these areas. The development proposals were made from the point of view of the electronic financial management and were useful to the LänsiAuto concern because the company noticed weaknesses in the financial management processes. By overcoming these weaknesses the company can achieve cost savings. Along with the development proposals, ideas are presented regarding the sending of account sales to customers electronically. Even though financial management is becoming all the time more electronic, paper invoices will still continue to be used for some time.
