Arkistoinnin uudistaminen vientiyrityksen tilaus- toimitusosastolla

Abstract

Opinnäytetyön aiheena on arkistoinnin uudistaminen kohdeyrityksen, eli Sandvik Mining and Construction Oy, Breakers Lahden tilaus- toimitusosastolla. Opinnäytetyössä selvitetään mitä osastolla tulee arkistoida, arkistoinnin nykytila osastolla, kartoittaa vaihtoehtoja arkistoinnille tulevaisuudessa ja suunnitella paperin käyttöä vähentävä, uusi arkistointitapa.

Opinnäytetyön kehityshanke on laadullinen tapaustutkimus. Tietoperusta on kerätty kirjallisten lähteiden, kuten lakien, säädösten, aiheeseen liittyvien tutkimusten, artikkelien, blogien ja haastatteluiden avulla. Haastattelut on toteutettu teemahaastatteluina.

Kehityshankkeessa selvitettiin järjestelmä, johon asiakirjat ja muut tiedot voidaan jatkossa arkistoida. Tilaus- toimitusosastolla arkistointitarvetta säätelevät lait ja säädökset sekä asiakaspalvelu. Järjestelmän on oltava helppokäyttöinen, jotta arkistointiin käytettävää työmäärää saadaan vähennettyä nykytilanteeseen verrattuna. Järjestelmältä vaadittuja ominaisuuksia selvitettiin lisäksi haastatteluiden avulla. Lopullinen ehdotus tulevasta arkistointijärjestelmästä tehtiin kolmen järjestelmävaihtoehdon välillä. Paperin kulutusta vähentämään tehtiin arkistointijärjestelmäehdotuksen lisäksi ERP-järjestelmän parannusehdotuksia haastatteluissa selvinneiden työntekotapojen perusteella.

Opinnäytetyön kehityshankkeen lopputuloksena kohdeyritys tietää arkistointiuudistuksen hyödyt ja arkistoinnin vaatimukset. Opinnäytetyön kehitysehdotusten sekä arkistointijärjestelmäehdotuksen pohjalta kohdeyritys voi selvittää uudistuksen kannattavuuden ja edetä kehityshankkeen toteuttamisvaiheeseen.

The subject of the thesis is developing archiving methods at the Order and delivery department of an export company. The offeree company of the thesis is Sandvik Mining and Construction Oy, Breakers Lahti. The target was to define which information and documents the department is required to archive. Target was also to examine current archiving methods, define new methods of archiving and develop a new method for archiving in the future.

The thesis is a qualitative case study. Theoretical basis of the thesis has been gathered from different written sources like laws, statutes, studies, articles, blogs and interviews. The interviews have been theme interviews.

The result of this study is a recommendation of a new electronic archiving system for the department. Laws and statutes define which documents and information needs to be archived at the department. Also, information needed for the demands of customer service has been considered. The new archiving system must be easy to use so the department can reduce the amount of work which they use for archiving. Other demands concerning the archiving system were examined at the interviews. The final suggestion of the new archiving system was made after comparing three different systems. The thesis also includes a few suggestions of improvements to be made to the company’s ERP-system to help the employees at their work.

With benefit of the results of the thesis the company is aware of the benefits what a new archiving system would deliver and about the requirements related to archiving. Based on the results the company can study the financial aspects of the overhaul and start implementing the system.
