Tiivistelmä
Tämä kehittämisprojektin loppuraportti esittelee Nuorten Ystävät Palvelut Oy:lle tehdyn kehittämishankkeen (IMS verkkokoulutusmateriaali) sekä siihen liittyvän tutkimuksen IMS ohjelmiston käyttöönotosta Nuorten Ystävillä. Tutkimus ja kehittämisprojekti nousivat työnantajan tarpeesta, sillä tutkimus käyttöönoton etenemisestä auttaa IMS ohjelmiston käyttöönoton arvioinnissa ja tulevien hankkeiden suunnittelussa.
Tämän laadullisen tapaustutkimuksen tarkoituksena oli kuvata, miten IMS ohjelmisto on otettu käyttöön Nuorten Ystävillä, mitkä asiat siihen vaikuttivat ja millaisia asioita uuden järjestelmän käyttöönotossa tulisi yleisesti ottaa huomioon.
Tutkimustulosten mukaan IMS ohjelmiston käyttöönotto Nuorten Ystävillä eteni pääsääntöisesti kuten käyttöönotot teoriassa etenevät, mutta käyttöönottoprosessi on edelleen kesken. Käyttöönottoon vaikutti useita eri tekijöitä ja käyttöönoton vaiheissa ilmeni useita haasteita. Esiin tulleet haasteet eivät kuitenkaan ole tuntemattomia alan kirjallisuudessa, vaan niin käyttöönottoon kuin muutosjohtajuuteenkin liittyvä kirjallisuus nostaa esiin samankaltaisia haasteita.
Tutkimusaineistosta nousi esiin neljä pääteemaa: 1) IMS ohjelmiston käyttöönottoprosessi, 2) IMS ohjelmiston käyttöönottoon vaikuttaneet tekijät, 3) IMS ohjelmiston käyttöön liittyvät kehitysehdotukset sekä 4) tietojärjestelmien käyttöönottoon liittyvät yleiset huomiot.
IMS ohjelmiston käyttöönottoon Nuorten Ystävillä vaikutti sosioteknisen käyttöönoton teorian mukaisesti neljä eri tekijää: ihminen ja inhimilliset tekijät, organisaatioon liittyvät tekijät, tekniikkaan liittyvät tekijät sekä työn muutoksiin liittyvät tekijät.
Uusien tietojärjestelmien käyttöönottoon liittyy niin ikään useita tekijöitä, joita tulisi käyttöönoton eri vaiheissa ottaa huomioon, kuten huolellinen käyttöönoton suunnittelu ja valmistelu ja käyttöönoton vaatiman pohjatyön aloittaminen hyvissä ajoin sekä käyttöönoton vaatiman ajan ja työvoiman realistinen arviointi. In this thesis the focus was on the implementation process within the organisation Nuorten Ystävät. The purpose of the development project was to find out how the IMS software was implemented in and produce the IMS online study material for the employees of the organisation. The aim of the development project was to support the implementation of the IMS software. The aim of the study was to give information about the IMS implementation progress in order to help evaluate the process and also design other ICT implementations in the future.
The development project was part of a bigger quality project within the organisation. The process of the development project started in autumn 2019. The aim of the organisation’s quality project was to clarify the work, create common practice and develop an audit scheme in the organisation. As a part of this quality project IMS has been implemented as a tool to develop process descriptions and work instructions. There was an obvious need for this development as the employees need to be advised with the use of the new information system. Some overall guides for the IMS have been made by the Arter Oy, but Nuorten Ystävät was hoping to have clear and visual study material based on organisation’s own visual IMS platform.
The purpose of this qualitative case study was to describe how the IMS software has been implemented in the organisation of Nuorten Ystävät. It also aims to investigate which factors had an influence on the process and what issues should be considered in general when implementing a new software in the organisation. The research material consisted of four thematic interviews as well as the organisation’s own already existing materials related to the implementation of the IMS software. The data was analysed using the theory-based content analysis and was guided by the theory of socio-technical implementation (Valta 2013) and the theories of the progress of the implementation.
The results indicate that the implementation process of the IMS software proceeded as the implementation processes usually do according the literature, but the process is still incomplete. The implementation process was influenced by several factors and there were many challenges as well, however the challenges were not unknown to the literature either – The literature raised similar challenges related to implementation as well as change leadership.
