Tiivistelmä
Opinnäytetyön tavoitteena oli tutkia rakennusurakoinnin päätoteuttajan tiedonantovelvollisuuksia helpottavan tietokoneohjelmiston valintaprosessia sekä kartoittaa ohjelmiston käyttöönottoa yrityksessä X. Tiedonantovelvollisuus velvoittaa pääurakoitsijan raportoimaan työmaiden työntekijä- sekä urakkatiedot kuukausittain Verohallintoon. Kahden käytössä olevien ohjelmistojen tilalle oli tavoitteena löytää yksi ohjelmisto, jolla pystyttäisiin hoitamaan raportointi sujuvasti ja näin helpottamaan raportointiprosessia.
Hanke toteutettiin tutkimalla yrityksen toimintatapoja ja kartoittamalla yrityksen tarpeet ja toiveet uutta ohjelmistoa koskien. Tarvekartoitus suoritettiin haastattelemalla yrityksen työntekijöitä, jotka työskentelivät vanhojen ohjelmistojen parissa. Tarvekartoituksen sekä toimintatapojen tutkimisen perusteella suoritettiin ohjelmiston vaatimusmäärittely, jota verrattiin markkinoilla oleviin tuotteisiin. Lopulliseen vertailuun valikoitui neljä eri tuotetta ja näitä vertailtiin keskenään erityisesti käyttöliittymän selkeyden, kustannusten sekä toimittajavarmuuden perusteella.
Vertailun päätteeksi löydettiin valmisohjelmisto, jolla pystyttäisiin korvaamaan käytössä olevat ohjelmistot. Ohjelmiston käyttöönotto yksinkertaistaisi raportointiprosessia sekä mahdollisesti vähentäisi siihen kuluvaa aikaa. Prosessit yksinkertaistuisivat, kun käytössä ei enää olisi useampaa erillistä ohjelmistoa raportointia varten ja käyttöliittymän selkeys sekä osittainen automaatiomahdollisuus voisivat mahdollistaa raportointiin kuluvan ajan vähenemisen.
Hankkeen lopuksi valikoitunut ohjelmisto otettiin käyttöön yrityksessä. Käyttöönoton tueksi, eri käyttäjäryhmille laadittiin käyttöohjeet uutta ohjelmistoa varten. Ohjelmisto on hyödyttänyt niin yrityksen omia työntekijöitä kuin myös työmaan johtoa. Ohjelmisto on toiminut odotusten mukaisesti ja lisäksi käytön aikana ohjelmistosta on tullut ilmi muitakin ominaisuuksia, jotka hyödyttävät yritystä sen muilla osa-alueilla. The aim of this thesis was to study the selection process of a computer software that facilitates the reporting obligations of the main contractor in construction sites and to map the implementation of the software in the company X. The reporting obligation obliges the main contractor to report employee and contract data to the Finnish Tax Administration. Instead of the two softwares in use, the goal was to find one software that could handle reporting smoothly and thus facilitate the reporting process.
The project was carried out by examining the company’s operating methods and mapping the company’s needs and wishes regarding the new software. The needs assessment was conducted by interviewing company employees who worked with the old softwares. The requirements for the new software were defined based on the need’s assessment and the examination of the operating methods. These requirements were then compared with the products on the market. Four different products were selected for the final comparison and these were compared with each other especially based on user interface clarity, cost, and supplier reliability.
At the end of the comparison, a software that could replace the softwares that were used, was found. Deploying the software would simplify the reporting process and potentially reduce the time that it takes. Processes would be simplified because there would be no need for separate softwares for reporting. Also, the clarity of the user interface and the possibility of partial automation could allow for a reduction in the time spent on reporting.
At the end of the project, selected software was introduced to the company. And to support the deployment, user guides for the new software were developed for different user groups. The software has benefited both the company’s own employees and the site management. Indeed, the software has performed as expected and in addition, during use, the software has revealed other features that could possibly benefit the company in other areas.
