Examensarbetet har gjorts i uppdrag av avdelningen inom Plant Engineering på ett tekniskt ingenjörsföretag. Meningen med arbetet var att samla och sammanställa information kring designdirektivens länkade dokument för att identifiera hur stor del av dokumenten som är i behov av uppdatering. Det har också tagits fram och visualiserats en arbetsprocess för hur man skall gå till väga när uppdateringsförslag till designdirektiven framkommer i framtiden.
Syftet var att identifiera hur stor mängd av dokumenten som är i behov av uppdatering och med hjälp av sammanställningen av informationen kunna visa åt företaget exakt vilka dokument det handlar om. Syftet var även att man i framtiden kunde undvika att dokumenten blir föråldrade genom att ta fram och visualisera en arbetsprocess som kunde användas för att kontinuerligt uppdatera dokumenten när behovet uppstår.
Utvecklingsarbetet har utförts med en kvalitativ metod och tillvägagångssätt. Informationssamlingen har utförts genom manuell sökning av dokument i dokumenthanteringssystemen samt genom muntliga kommunikationer med specialister på företaget.
Arbetet resulterade i en stor sammanställning av dokumentens status per område för designdirektiven. Det skapades även nya mallar som kan användas som botten när man börjar utföra uppdateringarna på företaget. En arbetsprocess togs även fram och visualiserades för den framtida, kontinuerliga, uppdateringen av dokumenten. Slutligen skapades även instruktioner till alla dessa dokument för att instruera användarna. This bachelor’s thesis was made on behalf of the department of Plant Engineering at a technical engineering company. The purpose of the work was to collect and compile information about the documents linked inside the design directives, in order to identify the needs for updating of the documents. A work process has also been developed and visualized for how to proceed when update proposals for the design directives appear in the future.
The purpose was to identify how many of the documents need to get updated and based on the compiled information, to be able to show the company exactly which documents need to be updated. By developing and visualizing a work process that could be used to continuously update the documents when the need arises, the company could avoid documents becoming outdated in the future.
The development work has been carried out with a qualitative method and approach. The collection of information has been carried out through manual search of documents in the document management systems as well as through discussions with specialists at the company.
The work resulted in one large compilation of document status per area for the design directives. New design directive templates that can be used as a base when the company starts performing the updates were also created. A work process intended to be used for continuous update of the documents was also created and is meant to be implemented in the company’s daily work. Finally, instructions on how to use these resulting documents were made, intended to be used as training material for the co-workers.
