Tiivistelmä
Opinnäytetyön aiheena oli kehittää kohdeyrityksen sähköisen taloushallinnon prosesseja. Työn tavoitteena oli selvittää, miten kohdeyritys saisi käyttöönsä tiliotteen automaattisen tiliöinnin mahdollisimman vaivattomasti ja millaisia toimenpiteitä kehitettävä prosessi vaatii henkilöstöltä. Työn tavoitteena oli testata kehitettävän prosessin käyttöönottoa yhdessä kohdeyrityksen henkilöstön kanssa sekä arvioida, millaisia kustannushyötyjä kehittämisellä on mahdollista saavuttaa. Opinnäytetyön tärkein päämäärä oli sulauttaa kehitettävä prosessi onnistuneesti osaksi kohdeyrityksen ja sen henkilöstön taloushallinnon rutiineja. Työssä selvitettiin myös mitä erilaisia vaihtoehtoja ostolaskujen sähköiselle käsittelylle oli sekä vertailtiin niiden välisiä kustannuseroja.
Tutkimuksen teoriaosuudessa käsiteltiin yleisesti tilitoimistoalaa, kirjanpitolakia ja muita ohjeistuksia, jotka luovat pohjan kirjanpidolle. Nykytilaa selvittäessä käytiin läpi myös perinteisen taloushallinnon menetelmiä keskittyen erityisesti kehitettäviin prosesseihin. Teoriassa käsiteltiin laajasti sähköisen taloushallinnon historiaa, sähköistämisen hyötyjä sekä erityisesti pilvipalvelupohjaisia taloushallinnon ohjelmistoja ja niiden luo-mia mahdollisuuksia. Taloushallinnon eri osa-alueissa keskityttiin erityisesti tiliotteen automaattiseen tiliöintiin sekä ostolaskuprosessin sähköistämiseen. Teoriassa käsiteltiin myös taloushallinnon prosessien kehittämisen luomia haasteita, joita oli muun muassa yksilön kokema muutosvastarinta.
Empiriaosuus toteutettiin sekä laadullisin että määrällisin tutkimusmenetelmin ja tutkimusstrategiaksi valikoitui toimintatutkimus. Tutkimuksessa tunnistettiin ensin kehitystarpeet, jonka jälkeen kohdeyrityksen taloushallinnon nykytilaa ja tavoitetilaa analysoitiin tarkemmin havainnoimalla sekä haastattelemalla kohdeyrityksen henkilöstöä. Työssä hyödynnettiin laajasti myös erilaisia dokumentteja. Kustannushyötyjä analysoitiin sekä olemassa olevan tiedon että tutkimuksesta saadun tiedon valossa. Prosessia testattiin yhdessä kohdeyrityksen henkilöstön kanssa, jolla oli positiivisia vaikutuksia sitouttamisen kannalta. Tutkimus osoitti, että mittavamman kustannushyödyn saavuttamiseksi prosessi tulisi ottaa kohdeyrityksessä laajemmin käyttöön. The topic of this thesis was to develop financial management processes for the case company. The purpose was to find out how the case company could implement certain electronic financial management processes, such as importing machine-readable bank account statements directly to the software. The goal was to implement it to the company’s daily routines and find out what it takes to get the accountants committed for the change. The goal was to test the implementation of the developed process together with one of the accountants of the case company and find out what kind of cost benefits can be achieved through the implementation. The study also investigated different options for electronic processing of purchase invoices and compared the cost differences between them.
The theoretical section of this thesis dealt with the basics of accounting companies in Finland and also the Finnish Accounting Act as well as other regulations that create guidelines for accounting in Finland. The theoretical section of the study also included the basics of traditional financial management focusing strongly on the processes that were to be developed. The main focus in the theoretical section was to go through the basics and history of electronic financial accounting, the benefits it creates and also the electronic tools and software with built-in connections that make it so efficient.
The empirical section of the thesis was conducted using both qualitative and quantitative research methods. The research strategy was leaning towards action research. The goal was to identify the need for changes but to also recognize both the current and future states for the case company’s financial management situation. For deeper understanding both states were analyzed by interviewing the employees of the case company. The cost-benefits were analyzed in the light of both the existing data and the information obtained from the study. The process was tested together with one of the accountants of the company, which had positive impacts towards future commitment. The study showed that in order to achieve greater cost benefits, the process should be more widely adopted throughout the company.
