Tiivistelmä
Siun soten varastolla oli käytössä vanha varastojärjestelmä, jonka ei koettu täyttävän nykypäivän varastonhallinnan tarpeita. Uuden ohjelman määrittelyt aloitettiin vuonna 2017, jonka jälkeen kilpailutus käynnistetiin vuonna 2020 ja kilpailutus valmistui keväällä 2021. Maaliskuussa 2022 varastolla otettiin käyttöön uusi toiminnanohjaus- (ERP) ja varastonhallintajärjestelmä (WMS).
Opinnäytetyön tarkoituksena oli tutkia, toivatko uuden WMS- ja ERP-järjestelmän uudistukset ajallisia ja/tai rahallisia säästövaikutuksia. Tarkemmin tutkittiin sen vaikutuksia keräilyn ja saapuvan prosessien tehokkuuteen ja palvelunlaatuun, vaikutuksia ostolaskuprosessiin sekä raportoinnin ja varaston ohjattavuuden hyödyntämiseen varaston johdon näkökulmasta. Tutkimuksessa tarkasteltiin myös, onko järjestelmäuudistuksella saatu muita vaikutuksia.
Opinnäytetyössä käytettiin määrällistä tutkimusmenetelmää ja rinnalla laadullista tutkimusmenetelmää. Tutkimusmetodeina käytettiin seurantaa, raportointia, kyselyä sekä vertailua. Tutkimus rajattiin koskemaan varastonprosesseja, osto- ja myyntilaskuprosesseja sekä työnjohdossa käytettäviä seurannan ja hallinnan työkaluja.
Opinnäytetyössä pystyttiin osoittamaan uuden järjestelmän tuomia huomattavia vaikutuksia ostolaskuprosessissa sekä varastoprosessien läpinäkyvyydessä vaikuttaen parantavasti palvelun laatuun. Ostolaskuprosessiin saatiin muutoksilla 75 %:n vähennys henkilötyövuosissa. Varastoprosessien läpinäkyvyys puolestaan vähensi puolentoista vuoden aikana täsmäytyseroa varaston ja kirjanpidon välillä 92 %. Työnjohdon raportoinnin ja seurannan työkaluihin tuli merkittäviä parannuksia käyttövalmiilla laajoilla perusraporteilla, joita johto pystyy hyödyntämään varaston tehokkuuden sekä talouden reaaliaikaiseen seurantaan ja ennakointiin.
Tutkimuksesta saatiin tutkimusmetodien avulla luotettavia tuloksia. Siun soten varaston johto pystyy näiden tutkimustulosten avulla osoittamaan järjestelmäuudistuksesta tähän mennessä saadut hyödyt ja säästöt Siun soten keski- ja ylemmälle johdolle. The warehouse of Siun sote was using an old warehouse system, that did not meet the needs of today's warehouse management. The definitions of the new program began in 2017, after which the tender was launched in 2020 and completed in the spring of 2021. In March 2022, a new operational control and warehouse management system was put into use at the warehouse.
The purpose of the thesis was to investigate whether the reforms of the new WMS and ERP system brought time and/or financial savings. Its effects on the efficiency and service quality of the picking and receiving processes, the effects on the purchase invoice process, and the utilization of reporting and warehouse controllability from the perspective of the warehouse management were studied in more detail. The study also looked at whether the system reform has had other effects.
The thesis used both quantitative and qualitative research methods. Monitoring, reporting, survey, and comparison were used as research methods. The study was limited to warehouse processes, purchase and sales invoice processes, and monitoring and management tools used in work management.
In the thesis, it was possible to demonstrate significant effects brought by the new system in the purchase invoice process, as well as in the transparency of warehouse processes, increasing the quality of the service. Changes to the purchase invoice process resulted in a 75 % reduction in the number of personnel needed for this process, while the transparency of warehouse processes reduced the reconciliation difference between warehouse and accounting by 92 % over a year and a half. There were significant improvements to the tools of job management and monitoring with ready-to-use extensive basic reports that the management can use for real-time monitoring and forecasting of inventory efficiency and finances.
With the help of research methods, reliable results were obtained from the study. This study will help the top warehouse management of the Siun sote to demonstrate the benefits and savings obtained so far from the system reform to the general and middle management of the Siun sote.
