This research paper explores the implementation of robotic process automation (RPA) to streamline the process of a new client data onboarding at BDO Ltd, a globally renowned network specializing in audit, tax, and advisory services. The paper outlines the current challenges faced in new client data onboarding, including manual data entry, finding relevant information from public sources, legislative complexities, and time inefficiencies, and proposes an RPA solution using Microsoft Power Automate.
The objectives are to reduce administrative workload, enhance process clarity, and ensure compliance with regulatory requirements. Through a comprehensive literature review encompassing Lean Management, Employee Experience, and RPA, theoretical frameworks are established to guide the development process. Methodologically, action research and service design methodologies are employed, utilizing in-depth interviews to gather insights from stakeholders.
In the literature review, various theoretical frameworks are explored to provide a foundation for understanding the principles underpinning process improvement and automation. Lean Management principles are examined, emphasizing the importance of eliminating waste, optimizing processes, and fostering a culture of continuous improvement. Additionally, the Employee Experience framework is investigated, emphasizing the significance of aligning organizational objectives with employee values to enhance engagement, productivity, and satisfaction. Finally, the literature on Robotic Process Automation (RPA) explains the potential for automation tools to streamline repetitive tasks, reduce errors, and enhance operational efficiency. These theoretical perspectives serve as guiding principles for the development and implementation of the RPA solution within BDO Ltd.
The implementation phase involves creating a prototype, conducting user testing by in-depth interviews, and building the RPA solution based on the data collected from the interviews. Despite technical challenges hindering the launch of the RPA robot, the paper demonstrates significant time and cost savings potential. The study underscores the importance of employee involvement in digital transformation initiatives and highlights the role of citizen developers in crafting sophisticated automation solutions.
