This thesis presents the planning process for an event called Lahden Synttärit, a birthday celebration to celebrate the 118-year-old City of Lahti.
Commissioner of this thesis is the City of Lahti. The planning was done in cooperation the with partnership tables, an initiative by the city, that promotes resident engagement and activity by producing events and opportunities for discussion for the residents of Lahti. This thesis describes the planning process, outcomes and evaluation of the event. The aim of the thesis was to create an event plan that the partnership tables could use in the planning of future Lahden Synttäri-events. The objective of the thesis was to create an event for the residents of Lahti, to celebrate the birthday of the city.
The theoretical framework explains the keywords of the event industry, such as event management, event planning and events itself. The theoretical framework is built on literature research done by the author. Second part of the thesis presents the planning process of the event this thesis is about, the event itself and evaluation of the event. The last part of this thesis contains reflection, discussion and conclusions of the whole planning process and thesis project.
The event planning followed the theoretical framework presented for the most parts. The planning process took around 9 weeks, in which time the event was planned, held and evaluated. On the day of the event, the weather was challenging, but that did not affect the attendee amount compared to the previous year. The event was produced as planned without any bigger problems and the feedback received from attendees was good. The team, however, did notice some room for improvements, and ideas were discussed at the post-event meeting on how to make the event better in the coming years. As an example, adding walls to the tents and changing the topics and lengths of the speeches.
The whole thesis project was inspiring and insightful and the event itself was successful. In the future, the partnership tables will have an event plan to follow when planning the event in the future. For the author, the process revealed new insights, for example, a team that has no professional experience in event planning can plan and produce a successful event.
