Tiivistelmä
This thesis focuses on the development of an onboarding guide for Company X to address challenges in onboarding new employees working among purchasing and accounting. The primary objective was to create a comprehensive and structured guide tailored to the company’s specific needs for purchase invoice processing and accounting tasks.

The guide highlights the importance of accuracy, the effective use of purchase software, and adherence to VAT regulations to stream-line onboarding and ensure consistency in processes.

The theoretical foundation includes concepts from Procure-to-Pay systems, automated accounting, and sustainable business practices. Research methods included conducting interviews with employees, reviewing internal materials, and applying established best practices in onboarding. The guide was developed based on practical experience, refined through user feedback, and tested to ensure usability and relevance. The project, which started in August, involved key phases such as content creation, collecting feedback, and implementing updates based on suggestions.

The final product is a user-friendly guide featuring step-by-step instructions, instructional screen-shots, and clear explanations of essential tasks. It has improved onboarding efficiency, reduced reliance on experienced staff for training, and enhanced the confidence of new employees. While the guide successfully meets its objectives, potential future developments include expanding its scope to other departments and incorporating advanced topics, such as international VAT regulations. This project demonstrates how structured onboarding can enhance productivity, promote sustainability, and support the company’s long-term success.
