Dokumentinhallintajärjestelmän vaatimusmäärittely ja kilpailutus

Abstract

Tämän projektin tavoitteena oli määritellä ja kilpailuttaa Väre Oy:lle moderni dokumentinhallintajärjestelmä. Järjestelmän tavoitteena oli yhtenäistää dokumentit samaan järjestelmään, jotta niiden säilyttäminen ja tar-kastelu olisi mahdollisimman helppoa. Järjestelmän pitäisi kerätä dokumenteista tarvittavat metatiedot ja sisältää integraatio CRM-asiakashallintajärjestelmään ja sähköiseen allekirjoitukseen.

Projektin aikana määriteltiin järjestelmän tarpeet yhdessä Väreen keskeisten osastojen kanssa. Määrittelyt tehtiin virtuaalisissa kokouksissa. Määrittelyiden jälkeen kilpailutettiin kaksi keskeisintä järjestelmää, M-Files ja Therefore. Kilpailutuksessa käsiteltiin molempien järjestelmien tarjottua ratkaisua Väreen tarpeisiin. Kilpailutuksesta tehtiin yhteenveto, jossa pohdittiin järjestelmien soveltuvuutta Väreen tarpeisiin.

Projektin lopussa pohdittiin projektin etenemistä ja siinä syntyneitä ongelmia. Pohdittiin mikä projektissa onnistui hyvin, mitä opittiin ja mikä meni pieleen ja miksi. Esiteltiin lopussa projektin jatkokehitys ja sen eteneminen. Projektin tuloksena tehtiin esitelmä kilpailutuksesta, joka lähetettiin ohjausryhmälle kilpailutuksen päätöstä varten.

The goal of this project was to determine requirements and organize a competitive tendering for a modern document management system for Väre Oy. The objective of this system was to unite all documents under the same system for easy archiving and examination. The system should collect all necessary meta information and have an integration for the CRM customers management system and electronic signature.

The specification requirements were determined with all the necessary compartments of Väre during this project. The requirements were determined in virtual meetings. Two of the most promising systems were competitive tendered after the determination. These systems were M-Files and Therefore. During the tendering the offered solutions for the system were evaluated and considered for the requirements of Väre.

As a result of the thesis, project progression and problems were considered at the end of the project. The consideration included what went well, what was learned and what went wrong and why. Concerning the consideration also contained the advancement of the project in future. As a result of the competitive tendering a presentation was made and sent to the steering group for a decision.
