This thesis was written with the goal of creating a well-functioning orientation booklet that will work as a guide for volunteers coming to help at an event called Helsinki City Running Day. The material will be used for the first time in the 2023 event. Helsinki City Running Day is the largest running event in Finland. The event is organized yearly and the finish line for all 6 distances is inside the Olympic stadium in Helsinki. This thesis was commissioned by the Finnish Athletics Federation’s events department.
Events are special moments that stand out in peoples’ everyday life. Sports events are built around a sports activity. Helsinki City Running Day is a major event in which more than 13 000 runners participate. This thesis discusses the characteristics of events, how they are categorized, and defines Helsinki City Running Day.
Volunteering in Finland is not often regulated and does not have strict instructions and guidelines. This allows for different approaches to organizing and providing orientation to volunteers. Volunteering is work done without financial gain and without requiring any special skills of the volunteer. In Finland, much of the work involved in events is done by volunteers. The thesis will examine the legal requirements of volunteering in Finland and the special characteristics of volunteering in sports events such as Helsinki City Running Day.
Workforce orientation means providing all new employees with the necessary information and skills for them to succeed in a new workplace and culture. Orientation for temporary labor focuses on the main practical tasks and culture of the organization that uses volunteers. The thesis defines orientation as well as examining the necessary focus of orientation for temporary employees while detailing the special needs of orientation for volunteers and the nature of volunteering for Helsinki City Running Day.
The orientation material (appendix 1) was created to help the organizing team guide and help their volunteers with their tasks. The material works as a reminder of what is expected from them and what they can expect from the organization.
