Corporate travel is an essential element for enterprises to succeed in business deals and maintain valuable customer relationships across borders. Many companies still value face-to-face interaction even though technology establishes different ways to approach for businesses. Travelling for business purposes encompasses layered framework of companies’ guidelines and internal procedures. In many cases business travelling processes are not getting as much attention as they should be.
This thesis intends to develop a travel expense claim process for the certain international company by making enhancement proposals to the current process. Visma M2 is the software platform that is currently being used by the company’s employees to record their travel claims. This thesis compares the current travel expenses status to the new changes that take place in the improved version. One of the important parts are to compare and detect corporate card integration alternatives and, how compatible they are with Visma M2. The main goal is to find if the card integration process would decrease the overall declaring time of travel claims and deliver other benefits for the organization.
Thesis uses qualitative data as a research method throughout the project, and it was the most convenient for this study. Materials were collected from internal documents and through professional discussions. Analysis of the project was actively updated throughout the thesis.
The results of this thesis demonstrate that the corporate card settlement is a step forward for the commissioning company. The integration opportunity with the Visma M2 platform reveals that expense recordings have been made more quickly, and it has also reduced manual labor.
Based on the result, the new implementation proposal will be put in place as soon as possible in the commissioning company, latest in summer 2023. The new execution will be followed continuously as the year progresses and evaluation of the execution will be made after the process has been active for several months. The time estimate for this is in the first quarter 2024.
