This product-based theses examines and analyses different project management tools and software products and aims to discover the key elements that are searched in both of these. This thesis is commissioned by Sisters Inc., an event marketing agency, and the goal is to provide the company a better understanding of the benefits of a digital project management tool, which in this case is a project management software product. Furthermore, this thesis aims to recognize and distinguish the most suitable product for the company to use. As a result of the findings regarding the above-mentioned matters, a template is created into the chosen software product to achieve a more productive and resource efficient event planning and production process.
At the current state Sisters Inc. does not have any digital project management tools at use, and projects are mainly managed through their communication channels devoted for this. By utilizing digital assistance and understanding both its benefits and vulnerabilities the company and especially individuals, employees, can save a lot of personal and organizational resources. This is extremely important, because event coordination requires extreme task management skills, and it is essential to maintain a thorough understanding of customers’ needs and wants and sustain clear communication with the team and subcontractors throughout the entire production process. Using a digital project management tool a company can greatly improve their control of mistakes, planning and scheduling, and use of resources. This thesis presents an example on how a project management software product can be used to maximize its benefits.
In order to find the most suitable product for the company to use, the first chapters focus on providing a general overview of project management, event production, and project management software products followed by presentation of the products that were chosen to the comparison. The template can be found as an appendix, and it is presented via screenshots. During the process of finding the correct product and making the template, a survey was conducted specifically to map which kind of elements are valued by the employees of Sister Inc. and to find out if this kind of solution is needed.
As the survey results reveal, this kind of solution is very much wanted in the company as several of the respondents pointed out that they would use the product every day. They also hoped that a digital project management tool would make the communication regarding updates better as well as bring overall improvements to project leading with clearer task distribution and schedule tracking. However, as the number of respondents were under 50 % of the company’s employees, the author strongly recommends, that feedback is collected at least once more after the product has been taken into use in order to make improvements and gain more in-depth employee insights.
