The purpose of this study is to plan, build and deploy a Human Resources (HR) tool to address the issues of Oivan’s HR team in manually processing data related to company-wide business travel.
This paper aims to demonstrate how a data management system can greatly improve manual processes by cutting costs and time while improving overall efficiency. This was achieved by collecting data from three stages to comprehend the current process. The first being interviewing key employees within the HR & Finance functions to understand and document current methods used to process, store and interpret data. The second phase investigates the literature around HR practices with regards to travel data as well as apps and solutions within the same domain. Based on data gathered and the need for customised features, a custom solution was proposed. This would result in Oivan owning the code and can customise the software further based on changing business challenges. It finally implements the solution by building and deploying a minimum viable product (MVP) and gathers different user data.
The results of this thesis shed some light into why a custom solution to handle travel requests and compensation, could be a viable way forward for some companies. The proposed solution helped to streamline the entire process and address employee pain points more directly as the software could be fully customised. This led to a more meaningful way to display related data and assisted HR managers to make more informed decisions regarding business travel.
In conclusion, the study found that Oivan benefited from a customised solution as opposed to an off the shelf, readily available travel expense planning solution or other comparable solution. The team proposing the customised solution views vendor locking a serious drawback in current commercially available tools as they restrict customization to fit some business requirements observed in the Oivan environment. Companies can avoid vendor lock in by building, deploying and maintaining a customised solution.
