This study focuses on a small HVAC company that is heavily reliant on outdated communication methods for project implementation. These traditional practices create challenges like information fragmentation, communication gaps, and inefficient coordination between stakeholders in the operating process. Therefore, this thesis aims to develop a solution to this problem. The objective is to develop and validate an improved communication and coordination process using digital technology. The expected outcome is the digitalization plan for the communication & coordination process during project implementation.
The study follows a qualitative research approach, using applied action research as the method. This approach allows active collaboration with the company throughout the process, contributing directly to practical improvements. The research is designed in four steps, which include analyzing the current project process, identifying areas that can be improved with digitalization, co-developing a plan to address those issues, and finally, validating the new process through feedback. During the analysis of the current process, four improvable areas are identified, and one among them, document management, is selected to be the focus of this thesis. To address this, a proposal to adopt an Electronic Document Management System (EDMS) was co-created with company staff, which was then further refined with feedback from other stakeholders.
The outcome of this thesis is a detailed plan for adopting an Electronic Document Management System to improve data management during project implementation. The result of this thesis can benefit other small companies seeking to modernize their existing traditional process through digitalization.
