Tiivistelmä
This thesis analyzes the process flow between different modules in the Company’s tool in order to improve and align with the Operational process and selected sub-processes. The case company is a global industrial equipment supplier, which suffered from interrupted communication, unsynchronized data in various storages and unclear responsibilities across departments. The objective of the thesis was to develop a proposal for a harmonized process flow that would improve efficiency, data quality and collaboration between Engineering, Procurement and Logistics.

The thesis used the Applied Action Research strategy that combines academic research with practical development. There were three rounds of data collection; Data 1 with interviews and internal document analysis for the current state analysis Data 2 with stakeholder workshops and interviews for co-creating the proposal, and Data 3 gathered in validation meetings with company experts.

The theoretical framework revolves around Business Process Re-engineering (BPR), Business Process Management (BPM) and software design. Based on both theoretical and practical inputs, a new process model was created, introducing a new Expeditor role to coordinate information flow and document management across departments.

The outcome of the thesis is BPMN-modelled workflow, RACI-based responsibility mapping, automated notifications and centralized document storage within the Tool. The proposal was first co-developed and then validated during multiple meetings and internal workshops. The final process was confirmed as scalable and aligned with the company’s operational goals. Its implementation aims to reduce manual workload, improve data quality and improve cross-functional collaboration. The thesis contributes to aligning the digital tool and human roles in supply chain operations, supporting the company’s strategy of digital transformation.
